QuickBooks Tips
#1
Monitor operations quickly by setting the QuickBooks desktop to automatically display the reports you use most often each time you open QuickBooks. To do so, open your favorite reports you use to monitor your operations. Set the Desktop View preference (Edit, Preferences, Desktop View) to Save current desktop. Now you will see the key numbers that help you stay on top of your business whenever you open!
#2
Activate the Icon Bar (click View, then Icon Bar) to help you get to the activities and reports you use regularly. Add new activities or reports to your icon bar by opening the window (activity or report) you use regularly, then click View, Add to Icon Bar. Too many icons? - Activate the Shortcut List (View, then Shortcut List) to provide another option to store your hot keys!
#3
QuickBooks History button can display all transactions related to the one you’re currently viewing. For example, view any invoice that you know is paid, click on the HISTORY button, and you'll see payment details on your screen instantly.
#4
Use QuickBooks Pro to track billable time and expenses to invoice your customers in a flash! Link employee and vendor time to a customer or job by selecting the customer or job when entering time on a weekly timesheet or single activity (Employees, Time Tracking). Link an expense or item on a check or bill by including the customer or job on that line on the Expenses or Items tab. When creating an invoice for that customer, click the Time/Costs button and those selected appear on the invoice!
#5
Keep your hands off the mouse to record transactions quickly! Learn and use the Keyboard Shortcuts in your QuickBooks User Guide!
- Ctrl + Enter pushes the Save and New button.
- Tap the spacebar to push any highlighted button.
- In the Reconcile window, use the <- and -> arrow keys to move between Deposits and Checks, the down arrow to skip a transaction, or tap Enter to mark it cleared! Remember: you can type much faster than you can point and click!
#6
Track customer information to increase sales and service by creating custom fields on the Additional Info tab in the Edit Customer window (in the Customer:Job list). Click Define Fields to set up fields to track key customer information, dates, or reminders to service and bill your clients! Modify reports for information in these fields to help you recognize additional revenue opportunities!
